This page is maintained by FOUR GEARS LTD (company number NI668978, registered office Reid Memorial Hall, 4a Maryville Avenue, Belfast, Northern Ireland, BT9 7HE), which trades as InsureOS, to explain how personal data is processed. It is app-owned editable content, not an independent certification.
Four Gears Ltd is a software provider, not an FCA-authorised intermediary. Customers remain responsible for their own regulated activities.
What we collect
- Account data — your name, email, hashed password (if signing in with email/password), and the workspace(s) you belong to.
- Lead data — names, contact details, consent status and product interest for prospects you import or ingest via integrations.
- Activity data — interactions, appointments, sequences, audit events.
How we use it
To operate the CRM features you have configured: scoring, routing, outreach via your connected providers, reporting, and compliance audit trails.
Subprocessors
- Google Cloud Platform (application hosting, database, authentication and private file storage)
- Google AI services (lead scoring and content suggestions when enabled)
- Any messaging / telephony / calendar provider you connect under Integrations
Retention
Lead and interaction data is retained for the lifetime of the workspace. You may delete individual lead PII at any time via Right to be forgotten on the lead page. Audit log entries are retained for 7 years to support regulatory review.
Your rights
Workspace admins can export, rectify or erase personal data on request. Email the operator listed in your contract for data-subject requests.
If you have an InsureOS account, you can exercise your access and erasure rights yourself at any time under Settings → Your data & privacy inside the app: download a machine-readable copy of the personal data we hold about you, or delete your account permanently.
Security
All traffic is encrypted in transit. Database access is gated by row-level security policies scoped to your workspace. Service-role credentials are not exposed to browser code.

Cookies & analytics
This site uses a single analytics tool, Google Analytics 4 (measurement ID G-QF6V5R8JSL), to understand aggregate usage. It is loaded only after you accept the cookie banner; until then, Google Consent Mode keeps analytics_storage, ad_storage,ad_user_data and ad_personalization set to denied and no analytics cookies are set. We do not run advertising, remarketing or cross-site tracking. IP addresses are anonymised and ads-data redaction is enabled.
